Technical Assistant - Long Distance ( Arabic Speakers) - (1500003R)
Job Purpose:
To provide administrative & technical support by conducting research, preparing reports and presentations, handling information requests and performing functions such as preparing correspondence, receiving visitors, arranging conference calls, meetings and recording minutes of technical meetings.
Duties & Responsibilities:
• Assists the Executive Management with preparation of presentation materials
• Reviews and prepares executive summary of miscellaneous reports and documents of a technical nature;
• Prepares background documents and outgoing mails as necessary
• Prepares, files and retrieves reports, memos, meeting minutes, letters, presentations, charts and other documents using word processing, spreadsheet, database, or presentation software
• Handles data, recordings and reports of technical nature to retrieve and reproduce when required
• Opens, sorts, and distributes incoming correspondence, including faxes and emails
• Reads and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution
• Manages heavy calendar schedules requiring interaction with both internal and external executives and assistants; as well as consultants, to coordinate a variety of complex executive meetings
• Answers phones and direct all incoming calls to appropriate party promptly and efficiently
• Communicates and handles incoming and outgoing electronic communications on behalf of the Executive Management
• Keeps track on all of the documents and spreadsheets that the executive prepares
Education:
• Bachelor Degree (Preferred) or Diploma in relevant Technical Field
Experience:
• Minimum experience of 2 years (Bachelor Degree holder) and 8 years (Diploma holder). Experience in assisting technical management with the creation of PowerPoint presentations, technical data and reports, correspondence and technical minutes under little supervision in multinational work environment
